Overview

Summary: 

We are seeking an experienced Medical Operations Manager to lead the Scheduling, Insurance Verification, and Billing departments for a large, multi-state mobile podiatry practice. This pivotal role ensures efficient daily operations, supports cross-functional team collaboration, and contributes to strategic growth initiatives. The ideal candidate is both a tactical problem-solver and a strategic thinker, skilled in healthcare operations, revenue cycle management, and staff leadership.

Responsibilities

Essential Duties and Responsibilities:

 

Leadership & Department Oversight

  • Lead and support a team of 15-20 across Scheduling, Insurance Verification, and Billing.
  • Train, mentor, and evaluate team members to ensure productivity, compliance, and engagement.
  • Monitor departmental workflows and implement improvements to support scalability and efficiency.
  • Maintain high levels of internal and external customer service.

Operations & Strategy

  • Analyze and manage A/R aging reports; drive reduction in DSO.
  • Develop and track operational KPIs to support data-driven decisions.
  • Identify and implement automation tools and technology upgrades.
  • Lead cross-training and process improvement initiatives.
  • Support integration of clinical protocols into operational workflows.

 Scheduling & Patient Coordination

  • Oversee patient and facility scheduling to maximize provider productivity.
  • Address escalated patient or partner concerns.
  • Monitor scheduling trends and adjust strategies to reduce idle time and improve access.

Insurance Verification & Revenue Cycle Management

  • Ensure timely, accurate insurance verification.
  • Oversee claims processing and coordinate appeals on denials or rejections.
  • Conduct quarterly audits to reduce errors and capture missed revenue.
  • Support payer contract analysis and negotiations.

Compliance & Risk Management

  • Maintain HIPAA and Medicare compliance across departments.
  • Update policies and procedures to reflect best practices and regulatory changes.
  • Serve as point of contact for operational audits.
  • Administer or liaise on EHR system upgrades, user training, and configurations.

  • Act as operational liaison during audits.
  • Serve as EHR system administrator or liaison for upgrades, user issues, and configuration requests.

Qualifications

Experience:

  • 5–7+ years in medical operations or healthcare management (podiatry preferred).
  • Experience managing multi-site or multi-state operations is highly desirable.
  • Working knowledge of CPT, ICD-10, LCD guidelines, DME billing, and Medicare regulations.

Technical Skills:

  • Proficient in Microsoft Excel, Word, Outlook, and PowerPoint. Experience with EHR systems like Athenahealth, NextGen, or similar platforms specific to podiatry
  • Experience with practice management and EHR systems (e.g. NextGen).
  • Strong data analysis, reporting, and project management skills.

Certifications (Preferred but not required):

  • Practice Manager Certification, Certified Professional Coder/Biller
  • PMP or Lean Six Sigma certification

Education:

  • Bachelor’s degree or Master’s in Healthcare or Business Administration preferred.

Computer Skills:

  • Proficiency using software programs such as MS Word, ACCESS, PowerPoint, Excel and Outlook
  • Experience with EHR systems like Athenahealth, NextGen, or similar platforms specific to podiatry

Environmental Factors/Physical Demands:

Work is performed in an office. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds.
